You are now able to downgrade your subscription from within WorkflowMax.
While on the subscription page, you will see which options are available to upgrade or downgrade to.
You can change your Subscription page on the Business > Subscription page.
Upgrading: To upgrade, select the new Plan you would like to change to. The number of allowed staff will immediately increase. You will be charged your new monthly subscription from your next invoice.
Downgrading: Plans with a smaller user limit than your current staff count will not be available. You will need to delete staff in your account if you wish to downgrade further. Plans with the same or more staff are available to downgrade to.
Please note:
- Deselecting a staff member's Currently Working? checkbox does not delete that staff member.
- All historical data regarding deleted employees will remain intact - there is no need to export data.
- As WorkflowMax retains all historical data, you can now enable a new setting called Reporting - Show Deleted Staff, which will allow you to see historical information, including deleted staff. To reduce clutter in your current views, this option is switched off by default. You can switch this setting on in the Business > Organisation Settings page, under the Reporting section.
Renaming and deleting unwanted staff

Why rename and delete staff?
Let's say you are currently on the 20 user plan, because you had 11 users and so the 10 user plan was not suitable. A staff member has just left, and there are no plans to replace her, so you wish to switch to the 10 user plan. You need to delete the departing employee from your account to be eligible for the 10 user plan.
Once you have deleted a staff member, if you ever need to reinstate them (even if you use exactly the same staff name and email address), WorkflowMax treats them as two different people.
For this reason, we recommend that, as part of the delete process, you rename each staff member from (for example) Anna Bell to Anna Bell - DELETED. In future if the same (or another) Anna Bell returns to work for you, there will be no exact duplication of names, and you will be able to distinguish the 'original' Anna Bell, from the 'current' Anna Bell - avoiding potential confusion.
To rename then delete unwanted staff:
- In the Business menu, select Settings > Staff.
- Select a staff member that you plan to delete.
- On the Staff Information tab, in the Name field, include the word DELETED after their name. For example: Anna Bell - DELETED.
- Save this change.
- Repeat Steps a-c for any additional staff that you plan to delete.
- Select a staff member that you plan to delete (their name will now include the word DELETED).
- On the Staff Information tab, select Delete Staff and confirm deletion.
- Repeat Steps 2-4 for any additional staff that you want to delete.
Downgrade or Upgrade your plan
Once you have deleted unwanted staff from your account, you can go back to the Subscription page and change your Plan.
