The Connection management screen lets you work with software from third-party providers to integrate WorkflowMax with your other business systems.
This integration enables you to:
- Choose systems that work best for different parts of your business and be confident that they will work together.
- Save time re-keying from one system to another (because data transfer between systems is automated).
- Improve quality by lowering the risk of transfers, or synchronisation of information, being incomplete or miss-typed.
- Keep visibility across the whole spectrum of activity regardless of department or system being used.
Current status of the WorkflowMax API connection
Third-party app developers can use our open application programming interface (API) to create custom integrations between their products and WorkflowMax, or to create WorkflowMax-connected apps.
The WorkflowMax API was upgraded from v1 to v3 during 2020 to improve security and meet the compliance rules that have been put in place by the Australian Taxation Office.
Existing add-ons that use v1 of the API are listed on the Legacy add-ons tab.
Connected integrations or apps using v3 of the API are listed on the Third party connections tab.

Working with third party connections
Moving from legacy add-ons to Xero connections
As the legacy add-ons are updated to use v3 of the WorkflowMax API, you can use the Xero Marketplace to connect to the new versions, or you will be automatically migrated to the latest version of the add-on. Please contact the add-on third-party providers for more information on their migration plans.
Connecting with a Xero connection (using v3 API)
Anyone can view available apps in the Xero marketplace. But to connect, access and disconnect apps in WorkflowMax, you need to log in and have the Authorise 3rd Party Full Access privilege enabled (in the support centre article, scroll down to see the section on API Access Privileges). This privilege can be enabled by any staff member with the Admin privilege in the Business > Settings > Staff settings page.
Disconnecting a connected app that uses v3 API
If you do not want to use a particular connected app any more, you can remove the connection. It's good practice to remove the connection if you don't want to use it any more as it's sharing data with that third party.
To disconnect a third-party app from WorkflowMax, click the Disconnect button next to the app's name on the Third party connections tab. Authorisation to access your account’s data will then be removed from that third-party provider.
Disconnecting a legacy add-on that uses v1 API
To disconnect a Legacy add-on, click the Disable button next to the app’s name on the Legacy add-ons tab. This will prevent the add-on key from being used by that app.
