WorkflowMax allows you to export the documents that have been loaded into the Documents tab for your jobs, clients, quotes, estimates and suppliers.
You can run the export process more than once if you wish:
- The first time you run the export process, WorkflowMax exports all currently stored documents into a ZIP file.
- If you repeat the export process, the ZIP file contains only those documents that have been loaded into WorkflowMax since the previous export.
Where your documents are stored
By default, any documents you load into a Documents tab will be stored in WorkflowMax itself. These are the documents that you can export.
If you have enabled integration with a document management system (DMS), your documents will be stored in the DMS rather than in WorkflowMax. The Documents tab provides a window into the selected platform so that you can view and manage documents in that platform directly from WorkflowMax.
Export your documents
To export all the documents you have loaded into the Documents tab for jobs, clients, quotes, estimates and suppliers:
- Select Business > Settings.
- Under the "Connections" heading, select "Export All Data"
- Next to the "Document Export" option, click the Export button.
- On the Export Documents screen, click the Export my documents button. WorkflowMax places your export request into a queue for processing.
View or download previously exported files
To view or download any previously exported ZIP files:
- Select Business > Settings.
- Under the "Connections" heading, select "Export All Data"
- Next to the "Document Export" option, click the Export button.
- On the Export Documents screen, click the, click the "View previous documents" button. WorkflowMax displays a list of all document export ZIP files.
- (optional) Click the Download button to download a specific ZIP file to your computer. You can do this more than once.
